Privacy Policy

How Ergopharm handles personal information collected through this website. In short: we collect only what you choose to send us through the contact and pack-verification forms, we do not track visitors, and this site carries no analytics, no advertising and no third-party embeds.

Scope of this policy

This policy applies to the website published at ergopharm.net and to the enquiries reaching us through it. It does not cover the separate contractual arrangements between Ergopharm and its distributors, importers or suppliers, which are governed by the agreements signed with them.

This site is addressed to healthcare professionals, licensed distributors, importers and regulatory bodies. It is not a patient service and is not intended for children.

Who is responsible for your information

The party responsible for the personal information described here is Ergopharm, at the address below. Any question about this policy, or any request concerning your information, may be sent to the general or quality contact points listed in the final section.

What we collect, and when

We do not ask you to create an account and we do not require you to identify yourself in order to read this site. Personal information reaches us in only three ways.

  • Contact form — your name, your email address, your company or institution (optional) and the text of your message. Nothing else is requested, and no field is pre-filled from another source.
  • Pack verification form — the verification code printed on a carton, exactly as you type it. The code is sent to our server, checked against our batch records, and the result is returned to your screen. It is submitted as form data, so it does not appear in the page address.
  • Server access logs — like any web server, ours records the requesting IP address, the date and time, the page or resource requested, the response status and the browser's user-agent string. This happens automatically for every request and is used to keep the site available and secure.

Why we use it, and on what basis

Each category of information has a single, stated purpose. We do not repurpose it.

Where the General Data Protection Regulation or a comparable data-protection law applies to a particular enquiry, the lawful bases we rely on are: your consent and our legitimate interest in answering correspondence addressed to us; steps taken at your request before entering into a contract, where the enquiry concerns supply; our legitimate interest in the security and integrity of our own systems; and legal obligation, where the information forms part of a product-quality or safety record we are required to keep.

  • Contact form details are used to route your message to the relevant Ergopharm department and to reply to you. They are not added to any marketing list, and we send no newsletters or promotional email.
  • Verification codes are used only to answer the query you submitted. We do not link a code to your identity or build a history of your queries.
  • Access logs are used for security monitoring, abuse investigation and technical fault-finding.
  • If your message concerns a suspected adverse reaction or a product-quality complaint, the details you give us are handled as part of the corresponding safety or quality record.

Health information and safety reports

A message sent to our pharmacovigilance or quality contact points may contain health information about you or about a patient — for example the description of a suspected adverse reaction. Information of this kind is treated as sensitive. It is seen only by the personnel handling the case, is recorded in the safety or quality file to which it relates, and is retained for the periods that apply to such records.

Please do not send more clinical detail than the report needs. Never send patient-identifying information beyond what is necessary to make the report assessable, such as age band, sex and the circumstances of use.

What this site does not do

The absence of these things is a deliberate design decision, not an oversight.

  • No analytics of any kind — no page-view counters, no session recording, no heatmaps.
  • No advertising, no advertising networks, no tracking pixels, no conversion tags.
  • No third-party embeds — no social widgets, no video players, no chat widgets, no externally hosted fonts or scripts. Everything the page needs is served from our own server.
  • No cross-site tracking, no profiling and no automated decision-making that produces legal or similarly significant effects.
  • No sale, rental or exchange of personal information, under any circumstances.

Who sees the information

Enquiries are read by the Ergopharm personnel responsible for the subject matter — commercial, export, quality, medical information or pharmacovigilance, according to the department addressed. Access is limited to those who need it to deal with the matter.

We do not pass personal information to third parties for their own purposes. Disclosure outside Ergopharm happens only where the law requires it, where a competent authority makes a lawful request, or where it is necessary to establish or defend a legal claim.

Our site runs on the company's own server infrastructure, and correspondence sent to an Ergopharm address is processed at our facility in India. If you write to us from another country, your message is transferred to India in order to be answered. We apply the safeguards described in this policy to it wherever it is held.

How long we keep it

We keep personal information only for as long as the purpose it was collected for requires.

  • Enquiries: for as long as needed to deal with the enquiry and any commercial relationship that follows from it, then deleted.
  • Quality complaints and safety reports: for the record-retention periods that apply to product-quality and pharmacovigilance documentation.
  • Verification queries: the code you submit is used to produce the answer and is not retained as a record about you.
  • Server access logs: retained for a limited period sufficient to investigate security incidents, then deleted or overwritten.
  • Internal staff-area session cookies: seven days, after which the session expires and must be re-established.

Security

Access to the internal areas of this site requires authentication, and the session credential is issued as a signed, httpOnly cookie that browser scripts cannot read. Enquiry and verification data are handled server-side. Access to correspondence and to quality and safety records is restricted to authorised personnel.

No transmission over the internet can be guaranteed absolutely secure. Please do not use the contact form to send commercially confidential or clinically sensitive material that would be better exchanged under an agreed secure channel; ask us to arrange one.

Your rights

Subject to the data-protection law that applies to you, you may exercise the following rights in respect of personal information we hold about you. Write to info@ergopharm.net and describe what you are asking for. We will ask for enough information to be satisfied of your identity, and will respond within the period the applicable law allows.

  • Access — to be told whether we hold information about you, and to receive a copy of it.
  • Rectification — to have inaccurate information corrected and incomplete information completed.
  • Erasure — to have information deleted where we no longer have a valid reason to keep it.
  • Restriction — to have our use of the information limited while a question about it is resolved.
  • Objection — to object to processing based on our legitimate interests.
  • Portability — to receive, in a machine-readable form, information you provided to us.
  • Withdrawal of consent — where we rely on consent, you may withdraw it at any time, without affecting what was lawful before withdrawal.
  • Complaint — to lodge a complaint with the data-protection authority competent in your country.

Rights we cannot always satisfy in full

Where information forms part of a pharmacovigilance record or a product-quality investigation, we may be required to retain it even after a request for erasure, because the record exists to protect patient safety. In such cases we will tell you which information we are keeping and why, and we will restrict its use to that purpose.

Changes to this policy

We revise this policy when the site's behaviour changes. The revision stamp at the head of this page shows when the current version was issued. Material changes will be reflected here before the change takes effect on the site.
